GUIDELINES FOR CONDUCT OF THEORY EXAMINATIONS

1. Examination Centres:

All Nitte (DU) theory examination shall be conducted in the University Central examination Hall, 3rd Floor, KSHEMA. All the University Theory Examination Schedule is notified at least four /six month before the commencement of the examinations. All the above-mentioned contents of the notification shall be prominently displayed for information of the candidates. The Chief Superintendent shall be appointed from amongst the Heads of constituent institutions, such that the, invigilators and other examination conducting staff belong to a college/institution other than the exam going students. He shall be responsible for the smooth conduct of the examination. Duties and responsibilities of the Chief Superintendent and other appointed staff shall be separately issued by the University. He shall ensure that all the appointed staff are aware of their duties and responsibilities. He shall formulate instructions for the candidates based on relevant sections of these guidelines and display the same prominently at the examination hall

2. Internal Assessment Marks & Attendance Statement:
Dates for submission of internal assessment marks shall also be notified. Students with shortage of attendance and/or Internal assessment marks are not eligible for appearing in the University examinations. If in eligible candidates are permitted to take the exams, the Principal of the college concerned shall be held solely responsible and such students’ results shall be held as null and void. Fees once paid will not be refunded or adjusted for any reason.

3. Issue of Application Forms:
On-line exam application forms shall be hosted 30 days before the commencement of the theory examination for yearly scheme and 15 days before the commencement of the theory examination for Semester Scheme programme. Examination forms shall be duly filled, verified and affixed with the recent photographs of the candidate. Detailed statement of students appearing for the examination with fees paid details shall be submitted to the University by due date. Statement of non-appearing/non-eligible students should also be submitted separately.

4. Hall Ticket (Admission Cards):
Schedule for issue of admission cards shall be notified by the University. Candidates shall be in possession of Admission card and Identity Card on all the days of theory examinations. In the event of non possession or loss of Admission card, the concerned student shall report to the Controller of Examinations (CoE) for the permission to appear in the examination in exceptional circumstances.

5. Appointment of Observer:
The University shall appoint an Observer, who shall be empowered as a representative officer of the University and who shall assist the Chief Superintendent in conducting the examinations as per the University guidelines.

6. Remuneration:
Remuneration bills of Observer shall be forwarded to the University for payment. Remuneration bills for all other appointed staff shall be consolidated and claimed by the college/centre on completion of the examination as per approved rates in vogue which may be reimbursed from the University.

7. Demand and Collection of Stationary:
The required number of answer booklets and other material shall be demanded and obtained from the University by the Chief Superintendent well in advance.

8. Seating Arrangement:
Candidates with hall ticket and staff involved in conducting examination only shall be permitted to enter the hall. The examination hall shall be suitably guarded by security staffs. Strict silence shall be maintained by all during the examination. The university seat number shall be prominently written on the desk. The seating plan shall be prominently displayed on the notice board and the appointed staff shall assist the candidates, if required. Large clocks showing the correct time shall be placed in the examination hall. Arrangement shall be made for providing safe potable water to the candidates in the hall. Candidates shall not be permitted to use clipboards or any similar item while writing the exams.

9. Answer Booklets:
Answer books shall be issued only to the candidates who are present in the hall as per the answer book allocation chart approved by the Chief Superintendent. Each answer book containing 48 pages for PG courses and 40 pages (or 28 pages for subjects with less total marks) for UG courses, shall be issued. No additional sheets/booklets shall be provided. Unused Answer booklets shall be returned to the University. No part of the answer booklet is to be detached by persons in any order

10. Collection of Question Papers from the Controller of Examinations:
Appointed Chief Superintendent shall collect all the allotted theory examination question papers one day before the commencement of theory examinations.

11. Opening of Question Paper Packets:
The Chief Superintendent shall personally check and ensure that all the packets containing the question papers for their intactness of the seal, correctness of the question paper code, and open the packets in the presence of two witnesses (Observer and one candidate) and in case of any discrepancies, shall be immediately brought to the notice of the Controller of Examinations. An acknowledgement shall be received from witnesses on the question paper packet.

12. Issue of Question Papers:
Invigilators shall issue question papers to the candidates at the notified time and shall ensure that question papers with codes corresponding to the codes mentioned in the admission cards are correctly issued. Unused question papers shall be returned to the University. 13. Collection of Answer Books: The invigilators shall collect the answer booklets from all the candidates at the end of the examination and arrange them course wise, subject wise, branch wise etc. and hand over them to the Room Superintendent, who shall in turn hand over them to the Chief Superintendent. Similar action shall be taken for Invigilators Diary, Candidates’ Absentee statement etc. 14. Packing & Dispatch: The answer books are then packed in paper packets as per subject/ paper wise separately for each question paper code (not more than twenty in each packets) and in turn packed in cloth bags, both of which shall be sealed and super scribed with details of the centre, course, year or phase, subject, question paper codes, date of examination and hand over packets to the Office of Controller of Examinations on the same day along with Check list/ daily summary and in return collect the duly signed acknowledgment receipt. 15. Malpractice: Instructions to candidates are provided to the candidates in the second page of the theory answer booklet. Candidates violating the instructions shall be subjected to physical check and verification by the authorized persons. If found indulging in malpractice the candidate shall be booked for malpractice and will be sent out of the examination hall immediately. The answer booklet and admission card shall be seized, packed in separate packet and marked as “malpractice case”. Same shall be signed by the Chief Superintendent and submitted separately to the University.


INSTRUCTIONS TO EXAMINERS APPOINTED FOR VALUATION
  • 1. The examiners appointed for valuation of theory answer booklets shall produce the appointment letter to the custodian to take up the valuation work.
  • 2. They shall maintain strict confidentiality regarding their appointment. In case any candidate, parent, guardian, teacher or any other person approaches them for favours, the matter shall be immediately intimated to the Controller of Examinations.
  • 3. If the examiner suspects malpractice of any kind in answer script, he shall immediately bring it (before valuing it) to the notice of the Controller of Examinations.
  • 4. Valuation shall be done carefully, meticulously and objectively as per the scheme & solutions. Ensure correctness of assessment.
  • 5. The valuation shall be done only in the notified Central Valuation Hall as per the timings announced .
  • 6. If an answered question is not awarded any marks, the word “Zero” shall be entered in the corresponding box.
  • 7. If a question has not been attempted or answered “NA” (Not Answered) shall be entered in the corresponding question number box.
  • 8. The examiner shall carefully check the number of questions answered and also whether all answers have been valued.
  • 9. If candidates have answered more questions than stipulated where candidates have choice, valuers shall have to value ALL answers written and consider the marks of ONLY the stipulated number of questions to the benefit of the candidates. Other questions to be marked as EXTRA in the Score Sheet.
  • 10. The total marks awarded shall be entered both in figures and words in the space provided. Fractions if any in the total shall be rounded off to the next higher integer. The total marks shall be checked for correctness.
  • 11. After valuation, all the answer booklets and Score Sheets shall be handed over to the custodian, before leaving the hall.
  • 12. Examiners shall follow the instructions as per the guidelines displayed on the screen for onscreen marking.
  • 13. The examiners shall maintain the decorum in the valuation centre

THEORY PAPER VALUATION PROCEDURE
Theory paper shall be subjected to double evaluation by the internal and external examiner separately. If the difference between the first valuer and second valuer is more than 15 %, the paper will be valued by the third valuer. The average marks between two nearest values (to the advantage of the student) of three examiners are taken as theory marks. For MD, MS and MDS papers, the evaluation will be done by four examiners, two internals and two externals. The average of the four values is taken as theory marks.


Retotalling
Students can apply for retotalling of marks within ten days of declaration of results by paying the stipulated fee.

Answer Script Viewing
Students desirous of viewing the answer script shall apply to the Controller of Examination within 10 days of declaration of results by paying the stipulated fee.

INSTRUCTIONS TO EXAMINERS APPOINTED FOR THE CONDUCTION OF PRACTICAL / CLINICAL
Procedure followed for online submission of marks for the Practical Examinations
  • 1. The examiners appointed for the conduct of practical examinations shall ensure that the marks are awarded in the answer scripts to each answer or part of an answer to the question set for practical examinations and that the marks are entered on the facing sheet of the answer scripts in the column provided. The examiners shall also enter the marks awarded for class records separately in the marks lists in the column provided for, and in case of exceptions, shall make the required observations in the remarks column in the marks lists.
  • 2. Awarding and entering of marks shall be done in confidentially by examiners ONLY and no other person/s shall be allowed to handle this procedure.
  • 3. Any rough/drafts sheets of marks awarded/calculated to be discarded immediately.
  • 4. In case if the candidate has secured less than 50% marks in practical/clinical examination, the remarks justifying the award of marks shall be mentioned in the designated space. Details may be written in the last page of practical sheet or reverse page of viva sheet.
  • 5. All the practical/viva sheets shall be signed by all the examiners.
  • 6. All practical sheets/viva sheets related to each candidate must be placed in order stapled and placed according to University Seat Numbers allocated for that day along with invigilators diary. All the examiners shall be present while packing and sealing the Marks list and practical/viva sheets.
  • 7. Marks awarded to each candidate for practical/Clinical/ Viva shall be submitted online on the same day of completion of practical examinations. Procedure followed for online submission of marks
  • 8. Eligible candidates’ final marks from practical/viva sheets to be entered in the Work sheet against corresponding University Seat Number.
  • 9. Once this process is complete, a single portal is created at the office of the Chief Superintendent for entry of practical marks.
  • 10. Upload the final marks online and take print out prior to freezing (marked as “verification pending”).
  • 11. Verify the uploaded marks against manually entered marks.
  • 12. Freeze the same and take the final print out.
  • 13. Affix signature of all the examiners on all the three copies and submit to the office of Controller of Examination in sealed cover on daily basis.
  • 14. Internal examiner shall obtain the acknowledgement on submission of the sealed covers.
  • 15. All the above provision is made at the office of the chief superintendent.
